The Role
McCann has an immediate need for an Executive Assistant. The incumbent will work closely with and provide excellent administrative support to the Chief Creative Officer & Chief Strategy Officer. This role is an integral part of the organization. A successful candidate will be results oriented, confident and have a demonstrated ability to effectively prioritize demands.
The Executive Assistant will uphold the Agency's core beliefs and is responsible for delivering best in class work. Must be collaborative, passionate and exercise discretion and confidentiality.
What you will do...
- Maintaining the executive's calendar; coordinating, arranging and confirming meetings; arranging for meeting setup and refreshments; screening requests for appointments; coordinating and arranging events and briefings as needed.
- Managing the day-to-day administrative and confidential activities in support, including reviewing and prioritizing of emails, tasks, printing of documents for review before meetings.
- Organizing department meetings, including preparation and mailing of agendas, booking boardrooms; sending invites; communicating with and preparing for speakers; arranging catering; preparing presentations for circulation.
- Creating, developing, amending and proofreading presentations and documentation requiring different computer software applications, including PowerPoint, Excel, and Word.
- Preparing expense reports and, gathering, summarizing data and distributing materials/reports.
- Attending to a variety of office administrative details such as establishing, organizing and maintaining confidential, subject files.
Who you will be...
- Proven track record of advancement within the administrative profession including a minimum of 3 years in an executive administrative capacity.
- Previous experience in a professional services or/and marketing agency environment would be an asset.
- Enjoys working in a fast-paced environment, looking for variety and challenge.
- Works well in a team based environment.
- Ability to be open minded, practical and agile with change and effectively manage pressure for self and the team.
- Troubleshooting and problem solving abilities; able to exercise independent judgment and make sound decisions.
- Ability to build strong relationships across the company and to know when and how to involve others.
- Ability to attend the office based on our hybrid work approach and to work core office hours with the flexibility to come in early or stay late as required.
