This is a full-time, hybrid role for an Administrative Assistant based in Ottawa, ON.
This position plays a key role in supporting daily operations, including email management, invoicing, payroll, bookkeeping, and coordination with clients, suppliers, and project teams.
The role is fast-paced and requires someone who can stay organized, manage multiple priorities, and handle time-sensitive tasks.
Responsibilities:
Manage company emails and daily communications
Prepare and issue invoices (progress billing)
Process payroll and track employee hours
Record payments and maintain accurate records in Quick Books Online
Handle supplier payments and accounts payable
Complete WSIB, union remittances, and HST filings
Follow up on outstanding invoices and track receivables
Provide general administrative support to ownership and project teams
Qualifications:
Experience in administration, bookkeeping, or construction office roles
Strong knowledge of invoicing, payroll, and accounts payable/receivable
Proficiency in Quick Books Online (preferred)
Highly organized with strong attention to detail
Ability to manage multiple tasks in a fast-paced environment
Strong communication skills (email and phone)
